What we need from you
An export from your current system. Whatever it will give you, in whatever shape it comes out.
We have worked with exports from Membee, ChamberMaster, GrowthZone, MemberClicks, Wild Apricot, ClubExpress, Neon and Almabase, and none of them look alike. You do not have to reshape anything into our format first. That is our job.
If your current provider will not give you an export, tell us. That happens, it tells you something about them, and there is usually another route.
What comes across
- People: names, emails, addresses, phone numbers, whatever you hold
- What they are: mapped onto your membership tiers
- When they are due: expiry dates, so renewals start on the right cycle rather than all at once
- History: past invoices and payments where the export includes them
What we ask you to decide first
Your tiers. We need to know what levels of membership you offer before we can put anybody on one. Set them up first; it takes ten minutes.
Your expiry dates. This is the one that matters most. If everybody arrives with the same expiry, every member renews on the same day next year, and your renewal season becomes one enormous week. Bring the real dates.
Who is actually still a member. Every roster has people in it who left years ago. Migration is the one natural moment to decide, and it is much easier before the import than after.
What happens on the day
We run the import with you on a call, usually about thirty minutes. You watch it happen and you check the result while somebody who knows the system is still on the line.
Nothing is sent to anybody during an import. No welcome emails, no invoices, no notifications. Importing a roster does not bill it.
After
Check a handful of members against your old system by hand. Not all of them, just enough to trust it: one straightforward member, one with an unusual tier, one who joined mid-year, one you know has an odd record.
Then, when you are ready, tell your members. There is a purpose-built announcement for exactly this, which tells an imported roster that it was imported. That is not a courtesy, it is what makes their implied consent defensible afterwards.
