Which things are taxable
Not everything an organization charges for is taxed the same way, and it varies by country and by what you are.
So Sembr asks per revenue type. Dues, event fees, other fees, sponsorships and donations can each be taxable or not for your organization. Set it once in settings.
The answer is stamped onto each invoice line when the line is created. That matters: if you change your tax position next year, invoices you already issued keep the treatment they were issued under, which is the only defensible behaviour. Retroactively re-taxing a document somebody already has is not a feature.
Your registration number
If you are registered for GST, HST, VAT or a state sales tax, put the number in settings. It appears on the documents that need it.
Document numbers
Every invoice gets a number, allocated in sequence, and no number is ever issued twice.
That is a stronger guarantee than it sounds. Two invoices raised at the same instant, by two different staff members or by a nightly renewal run overlapping with somebody clicking a button, still get different numbers. Sequence gaps and duplicate numbers are both audit problems and neither can happen here.
You can set the format: a prefix, the year, the width of the number. Once documents exist, changing the format changes what new documents look like and leaves the old ones as they were issued.
What an invoice remembers
An invoice keeps a snapshot of who it was billed to and who issued it, as of the day it was issued.
If a member changes their name or address next year, this year's invoice still says what it said when they received it. If your organization moves, invoices from the old address still carry the old address. A financial document that silently rewrites itself is not a record.
What we have not built
Charitable tax receipts. Sembr issues invoices and payment receipts. It does not issue CRA or IRS Publication 1771 charitable donation receipts, and a donation line on an invoice is not one. If that is a requirement for your organization, tell us before you sign up.
Multi-currency. Your organization bills its members in one currency.
